Kunjani (“we,” “our,” “us”) provides an AI-assisted, game-based learning platform that integrates with Microsoft Teams and WhatsApp. We are committed to protecting the privacy of our customers, learners, and website visitors. This Privacy Policy explains how we collect, use, store, and protect personal data, and outlines your rights under data protection laws including the EU General Data Protection Regulation (GDPR) and South Africa’s Protection of Personal Information Act (POPIA).


2. Data We Collect

We may collect the following categories of personal data:

  • Identification data: name, WhatsApp number, email address (if provided).
  • Usage data: responses to training activities, scores, feedback, and engagement metrics.
  • Technical data: IP address and browser/device type (collected automatically via Microsoft/Azure services).
  • Customer account data: company contact details for billing and support.

We do not collect sensitive personal data (such as health, biometric, political, or religious information).


3. How We Use Your Data

We use personal data to:

  • Provide, operate, and improve our learning platform.
  • Deliver training content and measure learning outcomes.
  • Generate reports for employers/clients.
  • Respond to support requests.
  • Comply with legal obligations.

We will never sell personal data to third parties.


4. Sharing Your Data

We only share customer data with trusted sub-processors necessary to deliver our services:

  • Microsoft Azure – hosting and storage of application data.
  • WhatsApp Business API provider (360dialog) – delivery of messages via WhatsApp.
  • OpenAI – processing for AI-assisted features (e.g., automated assessments). Data is not used for model training.
  • Google Cloud (Gemini) – video and audio analysis services, used only where customers opt in to these features.

All sub-processors operate under Data Processing Agreements (DPAs) and only process data for the purposes described here.


5. Data Retention

We retain personal data only as long as necessary to provide services:

  • Standard retention: up to 30 days after account termination.
  • Customers may request earlier deletion at any time.
  • Anonymized, aggregated data (e.g., usage statistics) may be retained for analytics.

6. Security Measures

We implement appropriate technical and organizational measures to protect personal data, including:

  • Encryption of data in transit (TLS 1.2+) and at rest (AES-256).
  • Multi-factor authentication (MFA) for all administrative accounts.
  • Access restricted by role and reviewed regularly.
  • Continuous monitoring.

Under GDPR and POPIA, you have the right to:

  • Access your personal data.
  • Request correction or deletion.
  • Object to processing or request restriction.
  • Request a copy of your data (data portability).
  • Lodge a complaint with a data protection authority.
